Questions with Answers
Data Coverage
What type of government contacts do your lists cover?
The majority of our lists contain details of senior officers within UK local authorities across two distinct levels of management – Tier 1 and Tier 2.
- Tier 1 contacts represent the senior decision makers. They are heads of service (senior management) or report directly to heads of service (principal officers).
- Tier 2 contacts represent the secondary level of management that generally report to the principal officers. They are often tasked with identifying key suppliers or partners for a project.
We also have a range of other set lists available that cover public sector associations and organisations (e.g. housing associations, health authorities, police chief constables).
Will each list include a contact from every local authority in the UK?
We collect information from all local authorities within the UK, however there may be some job functions that are not present in every council. In these cases the council will not be included in the list.
List Content
Why are lists defined by job function rather than job title?
Lists are defined by job function rather than job title as this is more representative of an individual’s area of responsibility. This is particularly relevant for officers who have responsibilities across different departments.
What type of information can I get in your lists?
All lists come with a named contact, job title and council name as standard. You can then select whether you want postal addresses, telephone numbers or fax numbers as your preferred method of communication. If you choose more than one method of communication, the price will increase accordingly.
Do your lists provide one contact or multiple contacts per site?
Most of our lists only have one contact per site, however if a council has provided us with multiple contacts these will be provided where we have them available.
Quality
Our dedicated editorial team update our data daily. This is done through researching press releases, news stories, listings from The MJ people page, local authority websites and through any mailing returns that we receive from our own internal marketing. In addition to this, we complete a major overhaul of all our information as standard to coincide with the publication of the hard copy directory, every October.
We also provide an ‘update your entry’ facility on our website which each council can access. This gives councils the freedom to update their details at any time. Our editorial team screen any updates submitted before the new data is uploaded.
What happens if I get any gone aways/mailing returns from your data?
We are extremely confident in the accuracy of our data, however we appreciate that you may require some reassurance, especially if you are new to list rental. If you receive any gone aways or mailing returns that are in excess of 2% of the total names provided we will credit the value of these back to you or supply you with the corrected data. All you need to do is send your gone aways to us for verification.
Can I view a sample of the data?
We want you to be happy with your purchase before you commit to an order so previews of all our set lists are available during the order process.
Price
MYB data is charged at 38 pence per entry
If you have a subscription to www.LocalGov.co.uk you are entitled to 20% off any list purchase made during your subscription term.
Charity discounts are also available, however this is subject to verification of your charity registration number. To enquire about charity discounts please contact Customer Services on 020 7973 6624 or email listrental@hgluk.com.
From time to time our marketing team will send out special offers. These offers are not issued to the general public as standard and can vary. If you have an interest in receiving any special offers please submit your details to listrentaloffers@hgluk.com and we will add your details to our mailing list.
Usage
How many times can I use the data?
The prices posted online are based on a one-time use postal mailing, however you can increase the usage if you want to do a follow up mailing or telephone call. You can select up to five uses of each communication method you have chosen and your list price will be automatically re-calculated.
Before a data list is released for use we insert a number of seed records into the file that act as monitors for how the list is used. These seeds are individuals/companies who are specifically tasked with providing evidence/feedback on all direct marketing contact that they receive.
Do I have to use the data within a specified time frame?
We recommend that you use our data within 28 days of it being received, however we do understand that this may not be possible depending on your circumstances (e.g. you have purchased a large quantity of lists or you have requested multiple uses etc). If your data is used after the 28-day period we will not be responsible for any gone aways/mailing returns that you receive.
What happens if I exceed my agreed number of uses?
If a list is used more times than agreed this is referred to as a misuse. Each identified case of misuse will automatically incur a penalty charge. This penalty charge will incorporate the list cost and administration fees. Penalty charges can vary based on the number of times that a list has been misused and if misuse is a regular occurrence.
Ordering
Is there a limit to the number of lists I can order?
You can order a maximum of 10 lists in one data order
Do I need to supply samples of my intended mailing piece?
In some cases we may request a sample copy of your intended mailing piece or in the case of telephone lists an outline of your campaign brief. This is a standard part of our order approval process. If a sample is requested this must be supplied, otherwise the data cannot be released.
What is your cancellation period?
Written notification of your cancellation must be received within 3 days of the invoice date. Cancellation will only be approved upon confirmation that the list has not been used and has been deleted from your system. Cancellations that are received after the 3 day notice period will be subject to an administration charge of £50 + VAT. Further information regarding cancellations and refunds can be obtained by calling 020 7973 6624 or emailing listrental@hgluk.com.
Delivery
What formats can I receive my data in?

How long do I have to wait for my list to be delivered?
